SUMMARY STATEMENT
The Proposal Coordinator supports the Capture and Proposal Department multiple proposal opportunities (some simultaneously) in proposal production. This role assists the Proposal Managers in monitoring the proposal process and by organizing and providing proposal tools and resources. The Proposal Coordinator has accountability and ownership for proposal coordination and production to include desktop publishing, graphics selection, packaging and all administration and logistics requirements to produce high quality proposals. This is a highly visible role that works closely with senior leadership, capture and proposal personnel, and operations management to produce winning proposals. The Proposal Coordinator must be creative, detail-oriented, and have excellent interpersonal communication skills, and be able to work independently and thrive in a fast-paced environment.

ESSENTIAL DUTIES & RESPONSIBILITIES

Proposal Development Support - 80%
* Coordinates graphics and desktop support for proposals and presentations
* Coordinates the production of proposal text and graphics for reviews and final submission
* Requests and obtains content from subject matter experts and other stakeholders/departments as directed
* Produces standard proposals and support proposal managers in the development of larger/strategic proposals
* Assists the Proposal Managers in developing proposal outlines, templates, and schedules
* Schedules proposal related meetings
* Manages configuration management proposal versions to prevent version conflicts and ensure backups
* Proofreads and edits proposals as required
* Completes forms required by an RFP

Pre & Post-Proposal Support - 15%
* Supports the management of a proposal content directory and maintains boilerplate folders, documents, and resource libraries (marketing database, master resumes, project descriptions)
* Supports maintaining information systems and collaboration tools that support proposal operations, including boilerplate content

Performs other duties as the supervisor may, from time to time, deem necessary - 5%

REQUIRED QUALIFICATIONS
* Bachelor's in related field or 4 years of work-related experience can be used in lieu of education requirement
* Must possess strong organizational and time management skills to meet hard deadlines under pressure
* Ability to work independently under minimum supervision in a fast-paced environment
* Proficient in using Microsoft Office (Word, Excel, PowerPoint), Adobe products, and proposal collaboration and document management tools (SharePoint, Teams, Zoom)
* Highly motivated, with strong desire to learn
* Must be detailed oriented

PREFERRED QUALIFICATIONS
* Shipley Method (or equivalent) experience

Specific counties and cities within these states may require further approval. In FL, PA, TX and WI, in-office and hybrid work may also be available.
