Convergint is looking for a full-time, enthusiastic, results driven and forward-thinking Administrative Assistant to join our amazing culture. Under minimal supervision, provides a wide range of administrative support to colleagues in the office and/or field. Reports to Regional Office Manager and works closely with local regional management team. Responsible for managing the day-to-day office administrative needs for colleagues and leadership. Making travel arrangements, scheduling customer site access screenings, Responsibilities may also include assisting with certifications, licensures, legal contracts, bid bonds, scheduling training and onboarding new colleagues. May provide direction and coaching to less experienced Administrative Assistants or other office staff colleagues. What you'll do with "Our Training and Your Experience"

  • Answers phone inquiries, handles incoming and outgoing mail and provides office administration support. Represents the company by welcoming visitors, answering questions, and handling general requests as needed. Handles more complex questions and concerns white maintaining utmost confidentiality.
  • Manage colleague certifications/trackers and local licensures as required.
  • Completes projects and special assignments by determining priorities, managing time, and adjusting plans.
  • May arrange travel plans and meetings by developing itineraries and agendas, booking transportation, arranging lodging and/or meeting rooms and meeting accommodations. May provide support for senior level colleagues.
  • Prepares a variety of reports, analyzes data, creates job files, identifies, and recommends solutions.
  • Assist with HR duties such as new colleague orientation, onboarding, payroll, and new hire paperwork. May participate in the development and implementation of policies and procedures.
  • Coordinates all general administrative activities as necessary (e.g. receptionist, accounting and other office staff colleagues).
  • Assists colleagues with contract administration, set up of vendors and subcontractors, tracking shipments, sales meeting preparation, colleague required training and licensures, state business license matters, manage and present contracts and agreements to legal for review. Obtain certificates of insurance, Bid Bonds, and financial reporting, etc.
  • Performs other office administrative duties including but not limited to ordering supplies and logo merchandise for colleagues/events. Manage colleague certifications/trackers and local licensures as required. Manage peripheral inventories for all colleagues. Handles all leased site maintenance issues (e.g. cleaning service, pest control, property management needs, and office equipment maintenance.
  • Provides back up support for Regional Office Manager.
  • May assist with fleet operations including ordering trucks or vans, maintaining fuel and maintenance cards. Ensure accurate driver information and recordkeeping.
  • May act as an informal resource for less experienced colleagues.
  • Performs other duties and responsibilities as requested or required.

Requirements:

Education: College degree, trade school or equivalent experience

Minimum Experience: 3-5 years office management or equivalent

Preferred Experience: (but not required):

  • Accounting, bookkeeping, and/or financial
