OFFICE MANAGER
Job Summary
We are looking for an Office Manager to organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. This person will oversee three outpatient facilities that provide substance abuse and mental health services.
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
Responsibilities
Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, bills, and errands
Ensure security, integrity and confidentiality of data
Organize and schedule meetings and appointments
Oversee adherence to office policies and procedures
Partner with HR to maintain office policies as necessary
Organize office operations and procedures
Manage contract and price negotiations with office vendors, service providers and office lease
Manage office budgets and complete monthly billing reports
Provide general support to visitors
Take client payments and perform administrative duties
Handle client inquiries and complaints
Serve as a Safety Officer, maintaining a safe and secure working environment at all times
Education and Experience
High school diploma with a minimum of 2 years administrative and/or supervisory experience
Knowledge of accounting, data and administrative management practices and procedures
Knowledge of clerical practices and procedures
Knowledge of business and management principles
Computer skills and knowledge of office software packages
