Job Summary

Performs financial and accounting transactions related to use of the South Beach Wine and Food Festival (SOBEWFF). Performs day-to-day accounting activities for the festival Maintains policy, procedure and training materials.

  • Review and analyze the reasonableness of additional budgetary requests by Festival staff and Contractors. Recommend cost saving measures and appropriate use of limited resources. Record credit card and cash receipts in PantherSoft Financials via journal entry and reconcile those entries against bank deposits.
  • Handles cash and manages all check deposits including the preparation and retention of necessary documentation.
  • Assists on the on the accounts receivable from start to finish including sending invoices and confirmation of receipts. Follow-up on delinquent sponsor revenues, escalating to Festival leadership as necessary.
  • Assists on multiple source data tracking mechanisms including: deposit log including sponsor obligations based on sponsorship contract files, consultant recurring contractual payments, exhibitor revenues, advertiser revenues, sponsorship activation expenses, and internal requisitions among others.
  • Maintains event budgets by recording changes, additions and deletions to static budgetary items in a dynamic forecasting environment.
  • Attends regular meetings at the Festival Headquarters, at various FIU Campuses and onsite at Festival event locations.
  • Orders requisitions as requested by Festival leadership for office supplies and any other requests as needed; track purchase orders and create receipts in the system.
  • Work with multiple demands and high expectations involving seasonal long hours of intense work pace. Assist on the accurately and timely performing the weekly billing process per established procedures: reviewing the Billing Worksheet for discrepancies and notifying Event Managers, invoicing all correctly submitted reservations, uploading all internal transactions to the general ledger for posting, working with units to resolve budget exceptions.
  • Administers multiple grants by monitoring budgets, ensuring compliance and maximizing use of funds in close collaboration with Festival Associate Directors and the Office of Research & Economic Development.
  • Assists Festival staff in submitting travel and expense reports via PantherSoft Financials.
  • Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
Minimum Qualifications
  • Bachelor's degree in a related field and one (1) years of relevant experience.
Desired Qualifications
  • Proficiency in Microsoft Office Suite (e.g. Excel, Word, PowerPoint, SharePoint etc).
